Executive Assistant / Office Manager

Location: Boston, MA

Job Description: We are looking for a dynamic and self-motivated Executive Assistant to provide administrative support to the CEO and senior management. The right candidate must be organized and calm under pressure. Excellent communication skills are essential for this role for external interactions. This position requires a professional demeanor and a high level of discretion in regards to handling of confidential company information. Must enjoy a “start-up” atmosphere and be flexible, show initiative, good judgment and be willing to take on additional tasks and responsibilities as needed to achieve goals and deliverables.  Must have strong knowledge of Microsoft Office (Outlook, Excel, Word, PowerPoint)

Primarily responsibilities: 

  • Screen and distribute mail correspondence
  • Handle inbound requests and queries appropriately
  • Manage Outlook calendar, schedule meetings and calls
  • Make local and international travel arrangements for the team
  • Order office supplies and maintain office in working condition
  • Act as the point of contact for different vendors
  • Maintain conference calendar and provide team with monthly updates
  • Participate in daily team calls and weekly meetings
  • Coordinate with IT company on office equipment & hardware
  • Maintain accurate and organized file of company documents
  • Coordinate internal exchange and archiving of non-disclosure agreements

Position Details:

  • Position is full-time salaried with medical, dental, 401(k), and life insurance benefits
  • 1-5 years previous experience working as Executive Assistant is preferred though not required
  • Salary will be commensurate with qualifications and experience.  Entry level candidates will be considered.
